MINUTES FROM THE LAST MEETING: John J Godinez read the minutes from the meeting of June 7, 2004.  A motion to accept the minutes was made by Sonny Cangiarella, with the second from Steve Whitmer. The motion passed.

FINANCIAL REPORT: Katy Bagu read The financial report (attached). Kathy reported a balance of $3,536.01 in the combine account. Debits were reported as a $16.00 service charge, and $100.00 to move the combine trailer, for a balance of $3,420.01.

OLD BUSINESS

COMBINE TRAILER/CRATES: Sonny Cangiarella reported the crates on the combine trailer were still dirty. Sonny would make a determination on what best to do in order to resolve this problem.

PUBLICITY DIRECTOR: There was no interest generated to support a position.

2005 OLD BIRD RACE SCHEDULE: The following motions were passed resulting in the ECC 2004 Old Bird Schedule.

Mike Smith made a motion, second by Ron Whitmer to start the first race on February 20, 2004.

Mike Smith made a motion second by Lyle Loomis to have Chuckwalla, Ehrenberg, Hope, Aquila, and Wickenburg as the first five races.

Mike Smith made a motion second by Lyle Loomis to have Ehrenberg as the sixth race station.

Mike Smith made a motion second by Lyle Loomis to have Flagstaff as the seventh race station.

Mike Smith made a motion second by Lyle Loomis to have Hope and St. Johns/Springerville as the eighth and ninth race stations.

Mike Smith made a motion second by Lyle Loomis to have Ehrenberg & Holbrook as the tenth and eleventh race stations.

A motion was made by Charlie Ettensperger second by Mike Smith to close the races.  The motion passed.

NEW BUSINESS

WIRE BOTTOMS: Mike Smith reported hearing about a new rubber coated wire bottom was available. The new bottom is hinged and more stable making it easier to get in and out of the crate. Mike estimated a cost of approximately $900.00 to purchase the new bottoms.

Mike Smith made a motion second by Lyle Loomis to raise the Combine fee an additional $10.00 per member on, a one-time basis, to purchase the new wire bottoms. The motion passed.

The remaining cost for the new bottoms would be made-up by the Combine.  The additional fee will be due on or before the day of shipping (Oct. 9, 2004).

CONVEYOR’S ESTIMATED COST: Based on fifty (50) fliers Urban Paulus gave the Combine an approximate estimate of the shipping cost for the 2004 Young Bird Series. Urban estimated the cost would be approximately $160.00 per team (this is not a proposal). Not included in Urban’s estimate are two key items:
1. The actual number of flyers for the 2004 Young Bird Series.
2. Detour cost to pick up the trailer, which is currently at Sonny’s.

All clubs must submit an accurate count of committed flyers for the 2004 young bird series, by next meeting.

STAGING OF THE TRAILER DURING THE RACE SEASON: The possibility exists for staging the trailer during the race season at the following locations:
1. The property of Charlie Ettensperger (pending).
2. The property of Art Paretti (to be approached by Kathy Bagu).
3. The property of Sonny Cangiarella (pick up here will result in an increase in the conveyor’s proposal).

ROUTE 66 NOMINATED BAND LIST: All participants in the Route 66 race must submit a list of nominated bands along with their entry fee by September 1, 2004. Make checks payable to: Alex Galustian

ADJOURNMENT:  A motion to adjourn the meeting was made by Lyle Loomis, second by Mike Smith.  The motion passed and the meeting adjourned at approximately 20:30.

The next meeting is scheduled for Sunday August 8, 2004, at 18:00 (6:00 p.m.). Location Sandberg Middle School.
